Everything a private practice needs on the financial side

Over five decades, our work has grown to cover the full financial lifecycle of a private medical practice. What follows is a description of how we support our member physicians, offered here purely for your information.

Organised medical invoices and a calculator on a desk

Private Fee Schedule Billing

We prepare itemised invoices in line with the private fee schedule, translating clinical documentation into line items that hold up to scrutiny from patients and payers alike. This is the foundation of our work and the reason many practices first came to us.

Receivables Management

When a payment is late, we follow up with the patience and professionalism the situation calls for, sending structured reminders and, when necessary, coordinating dunning procedures, always with an eye toward preserving the practice's relationship with its patients.

Advance Payment & Factoring

For practices that value predictable cash flow, we describe the option of receiving advance disbursements against submitted invoices, allowing the ordinary rhythms of running a practice to continue undisturbed by payment timing.

Fee Schedule Consultation

Fee schedules change and interpretations evolve, so we make ourselves available to walk member physicians through questions about coding, documentation, and how a particular service is best represented on an invoice.

Data Protection & Confidentiality

Every document that passes through our hands is treated as strictly confidential. We describe our safeguards openly to member practices so they can explain, with full confidence, how patient information is protected once it reaches us.

Financial Planning Guidance

Beyond individual invoices, we offer broader guidance on the financial rhythms of running a private practice, from anticipating seasonal fluctuations to planning for larger investments in equipment or staff.

How the process feels

From documentation to disbursement

We designed our process to ask as little as possible of a busy practice. Documentation arrives from the practice in whatever format is most convenient, and our team takes it from there, checking it against the fee schedule, preparing the invoice, and sending it onward.

From that point, we track the invoice through to payment, following up as needed and keeping the practice informed along the way. It is, in a sense, an ordinary process made extraordinary only by how carefully we try to execute it every single time.

  • Documentation received

The practice shares clinical documentation with us securely and without added administrative burden.

  • Invoice prepared

Our team reviews and prepares an accurate, fee-schedule-compliant invoice on the practice's behalf.

  • Invoice sent and tracked

We dispatch the invoice and monitor its progress, following up respectfully if a payment is overdue.

  • Practice kept informed

The practice receives a clear picture of outstanding and settled invoices whenever they need it.
